Entry to the Roll

What is the procedure for entry to the roll as a natural person or legal person? What forms and documents will I need?

Registration as a Natural Person

You qualify for entry to the roll of the Order of Architects when:

  • You have completed your training placement and possess a training certificate.
  • You have a foreign qualification with an accompanying certificate that allows direct entry to the roll (without a training placement). If in doubt, contact your provincial council to check whether your diploma qualifies.

To apply for entry to the roll you will need to submit two completed forms to the provincial council of the province in which you will carry out your main activities, i.e. the natural person application form and the data form (Dutch).

On receipt of these documents (PDF) , the provincial council will process your application at the next council session.

On the date of entry to the roll your fee will be due. Read more about the Fees for the Order of Architects.

If you wish to practise the profession in the name and on the account of a company, you will need to enter the architectural legal entity to a roll.

Filing of the Draft Articles of Association 

Your draft articles of association must be filed with the provincial council of the Order of Architects under which your registered office will be located.

In addition to the draft articles of association you will need to provide an application form. This will make it clear to us that your intention is to enter the company to the roll. At this stage of the application it is not necessary to enter the company registration number and insurance details on the form.

The articles of association for an architectural legal entity must be compliant with the Act of 20 February 1939. These specimen articles of association can be used as a guide when drafting the articles.

Legal Department Review

The legal department of the Flemish Council will examine the draft articles of association in the light of the statutory and ethical rules.

  • If a positive recommendation is given, the file will be submitted for approval to the relevant provincial council. 
  • If a negative recommendation is given, the comments will be conveyed to the party that filed the draft articles of association and it will be necessary to put an amended draft before the provincial council. 

Approval by the Competent Provincial Council

Once the draft articles of association are compliant with the legal and ethical rules, the articles of association will be submitted for approval to the provincial council at the next council session.

Please note: only when the approval of the provincial council has been received, may the incorporation of the company proceed.

Filing of the Memorandum of Incorporation

The memorandum of incorporation for a company must be filed with the registrar of the commercial court in the jurisdiction in which the company has its registered office. At the registry you will receive a company registration number assigned by the Crossroads Bank for Enterprises (CBE). 

Within ten days of filing the memorandum with the registrar, the articles must be published in the annexes to the Belgian Official Journal.

Entry of the Architectural Legal Entity to the Roll

After approval, the following documents must be emailed to the provincial council: 

  • copy of the final signed articles of association or the final articles of association signed by a notary;
  • extract from the Belgian Official Journal containing the publication of the articles of association;
  • copy of the proof of registration in the legal entities register at the Kruispuntbank voor Ondernemingen; 
  • copy of the extract from the share register;
  • copy of the letterhead;
  • insurance certificate (if available at this time).

On receipt of these documents the provincial council will process the entry of the architectural legal entity to the roll at the next session of the council.

Following entry to the roll, the company's fee will be due. You are therefore required to pay fees for your natural personality and your architectural legal entity. Read more about the Fee Payable to the Order of Architects.
